1. Introduction
EEW Design Limited (“EEW Design”, “we”, “us”) may use artificial intelligence, machine-learning or automation tools (“AI tools”) to support aspects of our creative, digital, production and administrative work.
This statement explains how we approach AI-assisted tools responsibly, proportionately and with regard to confidentiality, data protection, intellectual property and client requirements.
2. Purpose and scope
This statement applies to EEW Design directors, employees, contractors, freelancers and specialist suppliers who may use AI-assisted tools in connection with EEW Design work.
It should be read alongside our Terms and Conditions, Privacy Policy, Supplier Code of Conduct, Quality Policy and other relevant business policies.
3. How AI tools may be used
AI-assisted tools may be used to support tasks such as:
research support and summarisation;
idea generation and creative exploration;
drafting and editing support;
formatting and workflow support;
coding and technical support;
image, video or audio processing;
transcription or caption support;
quality checking;
project administration; and
internal process improvement.
AI tools are used to support professional judgement, not replace it.
4. Human review
EEW Design will review AI-assisted output before it is incorporated into final deliverables.
We do not treat AI-generated output as automatically accurate, complete, original, legally compliant or suitable for client use without review.
5. Confidentiality and client information
EEW Design will not knowingly upload client confidential information, unpublished client materials, personal data, regulated information or commercially sensitive information into public AI tools unless:
the client has authorised that use;
the information has been anonymised or sufficiently de-identified; or
EEW Design reasonably considers that appropriate contractual, technical and organisational safeguards are in place.
Where a client has specific AI restrictions, the client should notify EEW Design in writing before work begins or as soon as the restrictions become relevant.
6. Personal data
Where AI tools are used in connection with work involving personal data, EEW Design will take proportionate steps to comply with applicable data-protection laws and avoid unnecessary disclosure of personal data.
We do not knowingly use personal data in public AI tools unless there is a lawful basis, client authorisation or appropriate safeguards.
7. Intellectual property
AI-assisted tools may generate outputs that require review for originality, suitability, third-party rights, licence restrictions or usage limitations.
Where AI-assisted material is used in client work, EEW Design will take reasonable steps to review the material for the intended use. Clients remain responsible for approving final deliverables and confirming suitability for their intended purpose, sector and risk profile.
8. Accuracy and professional judgement
AI tools can produce inaccurate, incomplete, biased or misleading outputs. EEW Design therefore treats AI-assisted output as draft support, not as a substitute for human judgement, client approval or specialist legal, regulatory, financial, tax, compliance or technical advice.
9. Client-specific restrictions
If a client requires confirmation that AI tools have not been used for a particular project or deliverable, this must be agreed in writing before work begins.
Where agreed, EEW Design may restrict or avoid AI-assisted tools for a project, subject to any impact on scope, timing, cost or production method.
10. Suppliers and subcontractors
Where a supplier or subcontractor may use AI-assisted tools in connection with EEW Design work, EEW Design expects them to act consistently with this statement and any client-specific restrictions notified to them.
11. Review and contact
EEW Design will review this statement periodically to reflect changes in technology, client expectations, legal requirements and good practice.
