1. Introduction
This Supplier Code of Conduct sets out the minimum standards EEW Design Limited (“EEW Design”, “we”, “us”) expects from suppliers, contractors, freelancers, consultants and other third parties (“Suppliers”) who provide goods or services to us or on our behalf.
Suppliers are expected to comply with this Code, applicable laws and any additional requirements set out in contracts, estimates, purchase orders or statements of work.
2. Ethical business conduct
Suppliers are expected to:
act with honesty, integrity and professionalism;
avoid bribery, corruption, facilitation payments and improper gifts or hospitality;
comply with applicable anti-bribery, anti-corruption and anti-tax evasion laws;
disclose any actual or potential conflicts of interest connected to work with EEW Design;
maintain accurate records and invoices; and
avoid conduct that could damage EEW Design’s clients, reputation or legal compliance.
3. Modern slavery, labour and human rights
Suppliers must:
prohibit modern slavery, human trafficking, forced or compulsory labour and servitude;
prohibit child labour;
ensure that work is freely chosen and that workers can leave in accordance with lawful notice requirements;
provide fair wages and benefits that meet or exceed legal minimums;
provide safe and hygienic working conditions;
avoid withholding identity documents or requiring deposits or recruitment fees as a condition of work; and
comply with applicable labour, employment, immigration and human-rights laws.
Where Suppliers use subcontractors, they are expected to apply equivalent standards throughout their own supply chain.
4. Diversity, inclusion and equal opportunities
Suppliers should:
treat all workers with dignity and respect;
provide a workplace free from bullying, harassment and unlawful discrimination;
avoid discrimination on the basis of protected characteristics; and
support respectful and inclusive working relationships with EEW Design, our clients and other suppliers.
5. Health, safety and wellbeing
Suppliers must:
comply with applicable health and safety laws and regulations;
maintain appropriate controls for the work they carry out;
provide a safe working environment for their workers and anyone affected by their activities;
report serious health and safety incidents where they relate to work carried out for EEW Design; and
cooperate with reasonable investigations or corrective actions where relevant.
6. Environmental responsibility
Suppliers are expected to:
comply with applicable environmental laws and regulations;
minimise waste, emissions and energy use where reasonably practicable;
use environmentally responsible materials and processes where feasible;
manage hazardous materials or waste lawfully where relevant; and
consider lower-impact options for print, production, packaging and delivery where appropriate.
Suppliers whose work directly affects EEW Design’s environmental footprint, such as print and production partners, are encouraged to demonstrate relevant environmental good practice or certification where available.
7. Data protection, confidentiality and information security
Where Suppliers process EEW Design or client data, they must:
comply with applicable data-protection and privacy laws, including UK GDPR where relevant;
use appropriate technical and organisational measures to protect personal data and confidential information;
use EEW Design and client information only for the agreed purpose;
keep confidential information secure during and after the engagement;
avoid transferring data to unauthorised systems, devices or third parties; and
notify EEW Design promptly of any data or security incident affecting information relating to us or our clients.
8. Subcontracting
Suppliers must not subcontract work relating to EEW Design without our prior knowledge and consent, except for routine or low-risk elements that are normal for the service being provided and do not compromise confidentiality, quality or compliance.
Where subcontractors are used, Suppliers remain responsible for their performance and must ensure that subcontractors comply with equivalent standards.
9. Sanctions and financial crime
Suppliers must not knowingly provide goods or services to EEW Design in breach of applicable sanctions, money laundering, fraud, bribery, corruption or tax-evasion laws.
Suppliers should notify EEW Design promptly if they become subject to sanctions or if any financial-crime concern arises that is relevant to work carried out for us.
10. Compliance, monitoring and concerns
We may request information from Suppliers to confirm alignment with this Code where proportionate to the nature and risk of the engagement.
Suppliers are encouraged to raise concerns related to this Code, modern slavery, unethical behaviour, data protection or other compliance matters through their normal EEW Design contact or by emailing policy@eew-design.com.
We reserve the right to suspend or terminate our relationship with any Supplier who fails to meet the standards set out in this Code or applicable law, particularly in relation to modern slavery, bribery, sanctions or serious data-protection breaches.
