Introduction
This Supplier Code of Conduct sets out the minimum standards EEW Design Limited (“EEW Design”, “we”, “us”) expects from all suppliers, contractors, freelancers and other third parties (“Suppliers”) who provide goods or services to us or on our behalf.
Suppliers are expected to comply with this Code, with all applicable laws and with any additional requirements set out in individual contracts or statements of work.
1. Ethical business conduct
We expect Suppliers to:
Act with honesty, integrity and professionalism in all dealings.
Avoid all forms of bribery, corruption, facilitation payments and improper gifts or hospitality.
Comply with all applicable anti-bribery, anti-corruption and anti-tax evasion laws (including the Bribery Act 2010 and Criminal Finances Act 2017, where relevant).
Disclose any actual or potential conflicts of interest connected to work with EEW Design.
2. Modern slavery, labour and human rights
Suppliers must:
Prohibit all forms of modern slavery, human trafficking, forced or compulsory labour and servitude.
Prohibit child labour and respect the minimum working age in the relevant jurisdiction.
Ensure that all employment is freely chosen and that workers are free to leave their employment with reasonable notice.
Provide fair wages and benefits that meet or exceed legal minimums.
Provide safe and hygienic working conditions.
Not withhold workers’ identity documents, or require deposits or recruitment fees as a condition of employment.
Where Suppliers work with their own subcontractors, we expect them to apply equivalent standards throughout their supply chains.
3. Diversity, inclusion and equal opportunities
Suppliers should:
Treat all workers with dignity and respect.
Provide a workplace free from harassment, bullying and discrimination.
Not discriminate on the basis of protected characteristics such as age, disability, gender, gender identity, pregnancy or maternity, race, religion or belief, sex or sexual orientation.
4. Health, safety and wellbeing
Suppliers must:
Comply with all applicable health and safety laws and regulations.
Maintain appropriate policies, training and controls to provide a safe working environment.
Report serious health and safety incidents and cooperate with any reasonable investigations where they relate to work carried out for EEW Design.
5. Environmental responsibility
We expect Suppliers to:
Comply with applicable environmental laws and regulations.
Seek to minimise waste, emissions and energy use where reasonably practicable.
Use environmentally responsible materials and processes where possible, particularly for print and physical production.
Suppliers whose work directly affects our environmental footprint (for example, print and production partners) are encouraged to hold relevant certifications or demonstrate equivalent good practice.
6. Data protection, confidentiality and information security
Where Suppliers process EEW Design or client data, they must:
Comply with applicable data protection and privacy laws, including the UK GDPR where relevant.
Use appropriate technical and organisational measures to protect personal data and confidential information against unauthorised access, loss or misuse.
Use EEW Design and client information only for the agreed purpose and keep it confidential, both during and after the engagement.
Notify EEW Design promptly in the event of a data or security incident affecting information relating to us or our clients.
7. Subcontracting
Suppliers must not subcontract work relating to EEW Design without our prior knowledge and consent, except for routine, low-risk services (for example, standard print production, stock image licensing, or translation services).
Where subcontractors are used, Suppliers remain fully responsible for their performance and must ensure that subcontractors comply with this Code or equivalent standards.
8. Compliance, monitoring and reporting concerns
We may request information from Suppliers to confirm their alignment with this Code (for example, policies or certifications) where proportionate to the nature of the engagement.
Suppliers are encouraged to raise any concerns related to this Code, modern slavery, unethical behaviour or data protection using their normal EEW Design contact or via policy@eew-design.com.
We reserve the right to suspend or terminate our relationship with any Supplier who fails to meet the standards set out in this Code or in applicable law, particularly in relation to modern slavery, bribery or serious data protection breaches.
