1. Introduction
EEW Design Limited (“EEW Design”, “we”, “us”) recognises that remote working can support flexibility, productivity and efficient client service. This Remote Working Policy explains the standards expected when work is carried out away from a normal office or studio location.
The policy is designed to protect productivity, client confidentiality, data security, health and safety, and professional communication.
2. Purpose and scope
This policy applies to:
directors, employees and officers of EEW Design;
freelancers, contractors and consultants working remotely for EEW Design;
anyone accessing EEW Design or client systems, files or confidential information from a remote location.
3. Eligibility and approval
Remote working is suitable where the work can be performed effectively and securely without compromising quality, confidentiality, collaboration or client deadlines.
Remote working arrangements may be permanent, temporary, occasional or project-specific. Approval may depend on the nature of the role, project, client requirements, equipment, security and operational needs.
4. Working hours and availability
People working remotely are expected to:
be available during agreed working hours or project timescales;
attend agreed meetings and check-ins;
respond to communications within reasonable business timescales;
communicate promptly if availability changes; and
manage workload so that deadlines and quality standards are maintained.
5. Communication and collaboration
Remote workers should use agreed communication channels, such as email, phone, video calls, project-management systems or secure file-sharing tools.
Project decisions, approvals, instructions and revisions should be confirmed in writing where possible, particularly where they affect scope, cost, deadline or final deliverables.
6. Equipment and technology
Remote workers are expected to use suitable equipment and software for their work. This may include:
secure laptops or desktop systems;
licensed software where required;
reliable internet access;
appropriate backup or cloud-sync arrangements;
secure storage for client files; and
appropriate video, audio or communications tools.
Any equipment provided by EEW Design must be used responsibly and returned when requested.
7. Data security and confidentiality
When working remotely, individuals must:
protect client and EEW Design confidential information;
use strong passwords and multi-factor authentication where available;
avoid accessing confidential files on unsecured public networks unless appropriate safeguards are in place;
avoid storing confidential client data on unapproved personal devices or accounts;
lock devices when unattended;
keep physical documents secure; and
report any suspected data or security incident promptly.
This policy should be read alongside our Privacy Policy and any client-specific confidentiality or security requirements.
8. Health and safety
Remote workers are responsible for maintaining a safe and suitable working environment. This includes:
using an appropriate chair, desk and screen setup where possible;
taking regular breaks from screen work;
keeping cables and equipment arranged safely;
reporting work-related injuries or health and safety concerns; and
following any applicable guidance on display-screen equipment and ergonomics.
9. Expenses
Any expenses connected with remote working must be agreed in advance unless a separate written arrangement applies. Expenses should be reasonable, necessary for the work and supported by receipts or appropriate records.
10. Client-specific requirements
Some clients may impose specific requirements relating to confidentiality, data security, file storage, approved tools, working locations or subcontracting. Where such requirements apply, they must be followed in addition to this policy.
11. Ending or changing remote working arrangements
Remote working arrangements may be changed or ended where business needs, client requirements, performance, security or operational circumstances require it. Any change will be handled reasonably and with appropriate notice where practical.
